Please review STP's Travel Reimbursement Guidelines before travel.

To receive payment or reimbursement, please submit the following documents to the STP Treasurer using the link below. Travel reimbursement requests must be made within 45 days of travel.

            • Download and complete the STP Payment Request Form.

Start with the "Instructions & Checklist" worksheet (the first worksheet in the Payment Request Form). As you complete the items, check the boxes because some of these check boxes will auto-populate the next ("Enter Your Info") worksheet in the file.

Fill out the "Enter Your Info" worksheet (the second worksheet in the Payment Request Form).

For travel reimbursement, fill out the "Travel Expense Report" worksheet (the third worksheet in the Payment Request Form). You will need
                • Receipts for all expenses; each receipt must clearly indicate the payment method, e.g., credit card, cash. Note that STP reimburses for reasonably priced meals but does not reimburse for alcohol.
                • If necessary, convert to USD and include documentation of the source used for the conversion rate.
                • Documentation for mileage reimbursement, e.g., a screenshot of a Google map showing the distance between locations.
Consider using Expensify to track your travel receipts; it's free for individuals. Download the app and take photos of your receipts as soon as you receive them. When you're ready, Expensify will generate a pdf that summarizes your expenses as well as provide images of your receipts.

Please upload your Payment Request Form and a combined pdf of any additional documents.

After submitting your request, please retain all original receipts and documentation until payment or reimbursement is received (typically within 4-6 weeks).
